Observation

Situations almost every growing company knows.

The same questions. Again and again.

New hires ask about processes that have already been explained. No reliable reference exists – so someone takes the time once more.

Small differences in quality.

Everyone runs processes a little differently. When something is passed on verbally, variations emerge — internally it rarely shows, externally it does.

When one person is missing, everything stalls.

When the experienced colleague is sick or on vacation, onboarding stalls. Processes are delayed because no one else knows the answers.

Changes do not reach everyone.

A process change was communicated – by email, in a meeting. Two weeks later, part of the team is still working with the old version.

Cause

The problem is in the system, not the team.

The symptoms look different, but the cause is usually the same: knowledge lives in people's heads, not in systems. With every new hire, every new location, every new process, the effort grows — and shows up most clearly in four places.

01 · Operational

Mistakes happen – quietly and everywhere.

When every process is explained individually, you do not get big mistakes – you get many small ones. Standards drift gradually, without anyone noticing, until a mistake shows up in customer contact.

Visible in: Complaints, error rates, inconsistent service quality

02 · Operational

Your best people are explaining instead of working.

Experienced employees spend a significant share of their working hours explaining the same matters over and over. That time is missing from value creation.

3 hours of weekly explaining × €40/h × 44 working weeks = €5,280 per person per year

Visible in: Senior workload, leadership capacity

03 · Strategic

The knowledge sits with one person.

Experienced employees carry enormous know-how – but rarely document it. Illness, time off, or resignation leave a gap that is hard to close.

Visible in: Staff turnover, absences, handovers

04 · Strategic

Growth makes the problem bigger, not smaller.

With every new employee, location, or product, the explanation effort grows. Onboarding turns from a routine task into a bottleneck – and slows growth at the very place you least expect.

Visible in: Expansion, product launches, new locations

The solution

The solution follows a clear principle.

Structure knowledge clearly – in a format that meets three requirements at once.

  • Central and accessible. Every employee can find the relevant information on their own – regardless of who is available right now or how long someone has been with the company.

  • Consistent. Everyone gets the same information at the same quality. Not the version someone just explained under time pressure.

  • In a format that actually gets used. Written documentation meets the first two points in theory. But it is rarely read in full – and even more rarely remembered.

Marc Alexander Harpain

Video & Customer Process

Marc Alexander ran an explainer-video agency for six years and delivered hundreds of video projects. In countless rounds of feedback with clients, he learned what really matters in video production and where things keep getting stuck. At Vidancy he is responsible for everything around the video: a consistent, well-thought-out design and a process that feels as pleasant and frictionless as possible for you.

FAQ

Frequently asked questions.

How long does it take to get a video?
Creating a video usually takes 20 to 30 minutes. Changes to an existing video are done in just a few minutes.
How do you make sure my videos look exactly like my brand?

At the start, you set up a Brand Kit once – a complete profile of all Corporate Identity specs for your brand. In it you define:

• Colors: primary color, secondary color, background color and text color (each as HEX value)

• Background: how the visual background in the videos should look

• Typeface: your corporate font (or a matching Vidancy font)

• Illustration: a recommended style or your own style from 1–5 uploaded reference images plus a short description – from that, Vidancy creates a style anchor that is reused in every scene of every video

• Logo: SVG or PNG

Vidancy applies these values pixel-perfect in every rendered video. Unlike with pure AI generators, colors are not "interpreted" – they are applied 1:1, video 1 looks like video 50.

If you create videos for several brands, cover different sub-products, or run several client projects as an agency, you set up one Brand Kit per brand, product or client. The Starter plan includes one Brand Kit, the Pro plan ten, and Enterprise plans can be tailored.

Who writes the script?
Both are possible. You can upload a finished script and Vidancy uses it one-to-one for production. Or you only provide a topic, bullet points or your own knowledge documents – Vidancy then writes a script from that and shows it to you as an editable draft before rendering. In the script preview you can edit the text directly or have it regenerated with a change request ("shorter", "less jargon", "more examples"). Each video includes 3 free regenerations.
Which voice-over speakers can I choose from?
Currently 54 voices, filterable by gender (male / female), age range (young / mid-age / mature), energy (energetic / balanced / calm) and tone (professional / friendly / natural). When selecting, you can play sample audio in the target language so you find the voice that fits your brand.
Can we use our own illustrations or our own style?
Yes. In the Brand Kit under "Illustration" you have two paths: either pick one of the recommended styles, or create your own style by uploading 1 to 5 reference images and briefly describing the look you want (shapes, lines, colors, mood). From your images and description Vidancy builds a style anchor, then reuses it consistently in every scene of every video. The look stays the same across many videos.
How many languages are supported?

Currently 41 languages. Complete list:

German, English, Spanish, French, Italian, Dutch, Polish, Turkish, Portuguese (Brazil), Portuguese (Portugal), Spanish (LATAM), French (Canada), Indonesian, Vietnamese, Romanian, Swedish, Danish, Norwegian, Finnish, Czech, Hungarian, Slovak, Slovenian, Croatian, Estonian, Latvian, Lithuanian, Malay, Filipino, Swahili, Catalan, Afrikaans, Albanian, Azerbaijani, Icelandic, Luxembourgish, Basque, Galician, Haitian Creole, Javanese, Malagasy.

Can I have my video translated into another language?
Yes. In the finished video you click the language menu at the top of the editor and pick the target language. Vidancy automatically translates the script, generates audio in the target language with the same voice and adapts every on-screen text in the video. An additional language version costs 30% of the video's original credits. Example: a 5-minute video costs 300 credits (60 credits per minute) – each additional language version then costs 90 credits.
Is it possible to change something on the finished video?

Yes. Vidancy has a full editor where you can flexibly adjust the finished video – virtually every element can be swapped or changed:

• Edit the script and spoken text

• Change the voice-over speaker

• Regenerate or swap individual images / scenes

• Add, change or remove on-screen text overlays

• Reorder scenes

You only change the part that doesn't fit – not the whole video.

Who owns the rights to the finished video?
After successful purchase the full usage and ownership rights to the video transfer to you. You can use it internally for training, embed it in your Learning Management System, or publish it on public channels – website, YouTube, LinkedIn, social media.
Where is the data stored?
Hosting is exclusively in the EU. All data is processed in a GDPR-compliant way; a Data Processing Agreement (DPA) is provided on request. Your content is not used to train AI models and is not shared with third parties.
Can we integrate Vidancy with our Learning Management System (LMS)?

Yes, in two ways: videos can be downloaded as MP4 and uploaded to any common Learning Management System (LMS) (Moodle, Cornerstone, SAP Litmos, TalentLMS, and others) – or exported directly as a SCORM package (Sharable Content Object Reference Model) whose completion your LMS tracks automatically. For the SCORM export you define:

• SCORM version: 1.2 or 2004 – depending on what your LMS supports

• Completion threshold: the percentage of watched video length at which the training counts as completed (70–100%)

• Skip lock: whether employees can skip ahead or must watch the video in full

• Resume: whether the video continues from the last position when reopened

• Player branding: logo, accent and background color of the player – applied directly from your brand kit if you wish

You save these settings as reusable profiles. One SCORM package is generated per video and language version – multiple packages are delivered bundled as a ZIP.
